Bespoke Dance and Functions was established back in 2010 and specialises in organising hen party dance classes, life drawing hen parties plus many other hen activities.

With coverage all over England, Scotland, Wales and Ireland we offer a variety of activities and services for Hen Parties, Stag Do's, Weddings and Corporate Events.

When Bespoke Dance contacted Upshot Media they already had a website and a booking system in place, the back end system lacked the features and requirements they needed and there was a lot of manual admin involved in managing bookings.

For this project we undertook the development of a new agent booking system, we have not completed a new website design at this stage.

Within the website agent booking system and CMS (Content Management System) there is a wide range of bespoke functionality that has been developed specifically to help Bespoke Dance manage the bookings.

As a company they need to communicate with multiple parties that relate to a booking, these include:

• The venue
• The contractor
• Suppliers

When a booking is made, let’s use a Hen Party as an example, the booking is made for X number of people, the system then needs to know which venues are available in that geographical area that can accommodate the number of people, on the chosen date and the type of activity being booked (i.e. dance or stripper), then allow that venue to be allocated to the booking, in addition a contractor needs to be chosen, as per venue the system need to check the contractors availability and also what services that contractor run. As an example a Hen party may want a pamper session or a stripper. In some cases supplies also need to be ordered, i.e. Pink Ladies Jackets for a Greece themed night.

The system recognises things like the number of rooms a venue has and the capacity and limits the No of bookings for that venue to avoid over bookings or duplicate bookings.

Various third parties involved in a booking receive ‘automated’ emails and text messages, with links to confirm availability, the availability is then sent back to the system and booking updated, when venues and contractors confirm they are available various other things are also in place from adding in travel costs for contractor to get to a venue, contracts to be signed invoices and also scheduled reminders and re-confirmation of availability for all parties.

Many parts of the process are automated along with the ability to manually send or re-send info to any of the third parties involved with a booking. Automated processes such as emails and text reminders are logged against bookings s they can easily see that these have been sent successfully.

Since the system went live we have added many more features to help Bespoke Dance streamline their processes and massively reduce their manual admin time.
